This tutorial provides basic information about how to perform a search using the Sullivan University Library Online Catalog.  The Online Catalog is also known as a WebPAC (World Wide Web-based Public Access Catalog).

To get to the Online Catalog:

  1. Go to the Sullivan University Library and Learning Resource Center web page: http://library.sullivan.edu
  2. Place the mouse cursor over Search Catalog. A drop down menu will appear.
  3. Scroll down and click Search.
  4. This will take you to the Online Catalog (figure 1).

You can access the online catalog from the Library and any remote Internet location.

The Online Catalog contains information about books, videos, and audiocassettes that are in the collection of any library belonging to the Sullivan University System. These libraries include:

  • Louisville Technical Institute in Louisville, Kentucky
  • Spencerian College in Louisville, Kentucky
  • Spencerian College in Lexington, Kentucky
  • Sullivan University in Lexington, Kentucky
  • Sullivan University in Louisville, Kentucky

You can also find information about both print and electronic periodicals (i.e. journals, magazines, and newspapers) available from the Sullivan University Library.

Types of Searches:

From the Online Catalog page, you can perform four types of searches for items that can be found in the Catalog. You can perform a:

General Search:

You can perform a general search from the Online Catalog screen by clicking on the entry box (see figure 2) and typing in your search term(s).  You can search for a particular word or words, a title, an author, or a subject.  The search will return results based on searching under Author, Title, Subjects, and Notes (Notes are sometimes included to describe an item more thoroughly. Notes may include alternate titles or information about references, such as whether a book has an accompanying CD-ROM).

The results of your search will show 10 items at a time.  You can use the "Page Down" button to obtain additional listings of items. (NOTE: You can also default to return up to 100 items per page).

The following (figure 3) is an example of the results of a general search for the word "baking."

There may be some photographs of the book jacket (cover) next to some of the results items. Some items can have some additional buttons that provide links to:

  • Table of Contents
  • Reviews
  • Annotations     (see figure 4)

You can obtain more information about a particular item in the search results by clicking on that item (The item should be underlined and in blue print). Here is the information that appears for the book The art of fine baking by Paula Peck (figure 5).

The labeled display provides information about the book, video, and/or audiocassette, as well as information about where the item can be found in the collection.

The subject(s) of the item are hyperlinked. This allows you to click on the subject that may be of interest to you and retrieve the titles of the other items in the collection that are related to that subject.

The library and shelf location information includes:

  • The university or school at which the item can be found.

  • Whether the item is in Circulation, Reference or Reserves.

    • Items in the Circulation part of the collection can be checked out by faculty, staff, and students.

    • Items in the Reference part of the collection are usually non-circulating to students and staff (any book with an R in front of the Dewey number is a reference book).

    • Items in the Reserves part of the collection are are set aside at the request of instructors and are usually available to students for a limited number of hours or days.


  • The Dewey call number appears on the white label on the spine or side of the book at the bottom. It indicates where the item has been placed in the collection.

    Materials in the Sullivan University System are classified and organized by Dewey call numbers from 000 to 900's

    000 General Knowledge 500 Science
    100 Philosophy 600 Technology
    200 Religion 700 Arts
    300 Social Sciences 800 Literature
    400 Language 900 History

[Available] after the Dewey call number indicates that the item is not missing or checked out. If the item is checked out, [Checked Out] will appear in the Item Status field.

At the top of the screen are several buttons that you can use to navigate in the Online Catalog.

  • The HOME button will return you to the main Online Catalog page.

  • The HELP button opens the help page.

  • The SEARCH button will take you to the simple search page.

  • The BROWSE button will take you to the browse search page.

  • The COMBINATION SEARCH button opens the combination search page.

There are other buttons that will be explained in more detail later in the tutorial.

Simple Search:

You can perform a simple search that allows you to select and search a category such as authors, titles, subjects and notes.

To start a Simple Search:

  1. Click on Search, found on the main Online Catalog page (see figure 6) or on the Flashlight button (see figure 7), found on other pages.

  1. Highlight the category in which you want to search, i.e. Titles, Authors, Subjects, or Notes.

  2. Specify a search type, i.e. whether you want the category that you selected to:

    • Begin with the word(s).

    • Contain the word(s).

    • Closely match the word(s). [For example, a search for "cat", looks for cat, cats, calc, and case.]

    • Stem from the word(s). [The search will look for verb forms and singular or plural froms of a word.]

    • Sound like the word(s). [The search looks for the first letter of the search word "followed by similar sounding consonants."]

  3. Type the search word(s) in the entry box.

  4. Decide the number of results you want to return per page of results (10 items is the default).

  5. Click on the location in which you want the items to be found (All branches is the default).

  6. Click Search.

Combination Searches:

To perform a combination search, click on Combination (see figure 9), found on the main Online Catalog page; or click on the Combination button (see figure 10), found on the other catalog pages.

As illustrated in figure 11 below, the Combination Search has 3 entry fields that can be searched by Title, Author, Subject, or Note. Each search term is combined by a Boolean (Logical) operator. The three Boolean operators are AND, OR, and NOT.

  • AND searches for all the search terms. All of the search terms must be present in the results.

  • OR searches for any of the search terms. Any of the search terms may be present in the results.

  • NOT requires that the first search term be present in the results, but that the second term must not be present. For example, "desserts NOT cakes" requires that "desserts" be present in the search results but "cakes" would not be part of the results that are found.

The Search terms can be grouped. The number of results per page can be set. The location at which the results must be found can be selected.

Wildcard searches can also be done. The wildcard symbol is an asterisk (*). The asterisk can be used at the end of a word stem to look for partial words; or, within a word to substitute for a letter.

Examples:
Child* will find children, childless, childish, and other words with the word root "child."
wom*n will find women or woman.

Enclosing a search in quotation marks will designate an exact phrase.

Browsing the Online Catalog:

To browse the online catalog, click Browse on the main Online Catalog page; or click the Browse button at the top of the other pages. This screen will appear (see figure 12).

Browsing allows you to create an alphabetical or numerical list of results that you can move up or down using the Page Up or Page Down arrows. You can browse by title, authors, subjects, Dewey call numbers, and other categories using the pull-down menu.

Setting Limits:

In the simple search, browse, and combination search modes, you can set limits to your search by date of publication, collection, or library.

To set limits:

  1. Click on the Set Limits button (see figure 13).

  1. Click on the box next to the limit(s) that you want to place. Scroll down and click on the limit(s) that you would like to place.

  2. Click the Set Limits button at the top or bottom of the page (see figure 14 for example of the Set Limits page).

  1. You will return to the search page. The button at the top of the page will say Change Limits (see figure 15).

  1. Enter your search term(s) and click Search.

Periodical Search:

The Periodical Search allows you to search through a listing of print and electronic (online) journals available in the Sullivan University Library collection.

To perform a Periodical Search, return to the main Online Catalog screen. Click on PERIODICAL SEARCH. The search screen will appear (see figure 16).

From the Periodical Search screen you can do an alphabetical search or enter search terms in the entry box. There is also a hyperlink to the full text of journals.

The results list provides a listing of the journals along with the dates of the available issues and where the journal can be located. The online journals will have hyperlink(s) to the electronic database(s) in which the journal can be found (see figure 17).

Creating a Bibliography (Listing) of Your Search Items:

You can create a list of records that you have selected from your searches.

To create a bibliography:

  1. Select a record from the search results list.

  2. At the Select an Option to Save Result box at the top of the screen, use the drop-down menu to select Save Checked Items to List (see figure 18).

  1. A screen will appear stating that "The item has been added to your list."

  2. A Review List and Clear List button will be present at the top of the search pages. You can use these buttons to retrieve your list and clear your list.

Locating a Complete List of Library Videocassettes (Also Known as Videotapes or Videorecordings):

  1. Click on Search from the main Online Catalog page.

  2. Use the drop down menu and radio button to select Subjects that begin with.

  3. Type videocassettes in the entry box and click Search.

  4. Your results screen will look like figure 19.

  1. Click on Videocassettes to obtain a complete listing of all the videocassettes in the collection (listed in alphabetical order).

Locating a Videocassette by Subject:

  1. Click Search from the main Online Catalog page.

  2. Click the Set Limits button.

  3. Click in the box next to Format. Scroll down and click on Projected.

  4. Click the Set Limits button. You will return to the search screen.

  5. Use the drop down menu and radio button to select Subjects that contain. Type your search word in the entry box and click the Search button.

  6. You will retrieve only videocassettes.

Locating a Complete List of Library Audiocassettes (Also Known as Audiocassette Recording, Audiotape Cassettes, or Compact Audiocassettes):

  1. Click Search from the main Online Catalog page.

  2. Use the drop down menu and radio button to select Subjects that begin with.

  3. Type audiocassettes in the entry box and click Search.

  4. Your results screen will look like figure 20.

  1. Click on Audiocassettes to retrieve the full listing.

"My Sullivan Library Account":

You can check the status of your account or place an item on reserve using the "My Sullivan Library Account" feature. To go to your account information, click on the "My Sullivan Library Account" link found on the online catalog page.

You will retrieve this page:

  1. Enter your social security number without hyphens in the Patron/Alternate ID Number box.

  2. Enter the last 4 digits of your social security number in the PIN box.

  3. Click Submit Request.

You will retrieve a web page listing any items that are checked out to your account, as well as any items that you have on reserve. You can change your PIN number from this page.

To Place an Item on Reserve Using the Online Catalog:

  1. Search for books, DVDs, videos, and other items using the online catalog.

  2. A results listing will appear.

  3. Click on the item that you are interested in.

  4. To place the item on reserve, click the Place Hold Request button near the bottom of the page. A reserve item screen will appear:

  1. Enter your Patron/ Alternate ID Number and PIN in the appropriate boxes.

  2. Click Submit Request.

  3. The item will be placed on reserve for you. To check the status of a reserve, go to your Sullivan Library Account page.

  4. Once the item is available, it will be held in reserve for a 7-day period. You must come to the library and pick up the item during this time.
